Working with Vulnerable People (WWVP)

In 2011 the ACT Office of Regulatory Services (ORS) introduced a centralised background checking system for people that are engaged in regulated activities with vulnerable people.  The Working with Vulnerable People (WWVP) registration aims to reduce the risk of harm or neglect to vulnerable people in the ACT.

The University is implementing changes to existing HR processes so that we are compliant with this Act and CBE HR is now implementing these for our staff as needed.

What do I need to do?

  • Check with your local administration team if you need to have this check for your role.

  • The WWVP registration check for staff is currently $76, and free of charge for volunteers.   If you have registration for regulated activities in a volunteer capacity for activities outside the ANU, such as volunteering in a school, the registration is transferable and valid and no fee applies until expiry.
  • Complete a WWVP Application Form from the Access Canberra (ORS) website and lodge in person at any Canberra Connect shopfront.  A photograph will be taken at the shopfront.  It is recommended staff obtain the General Registration type of registration as this ensures staff are able to work in all regulated activities for up to three years.

  • You can pay with an ANU purchase card or request reimbursement from Financial Shared Services. Email your reimbursement form to invoice.workflow@anu.edu.au and a copy of the receipt to CBE HR so we can record lodgement.

Next steps?

  • Once registered, a letter and WWVP Registration card will be issued to you.   This card looks like a driver’s licence with photo identification, registration number, expiry date and type of registration (General, Conditional or Role Based) and must be carried at all times during the regulated activity.
  • A certified copy of your card is to be emailed to CBE HR for your personnel file and recording in the HR Management system.

When should this be completed by?

  • We are asking that registration and applications for reimbursement be submitted as soon as possible or thereafter.

As this is a new employment condition, the College will, in 2016, pay your registration fee which is valid for three years. It is expected that you will be responsible for payment thereafter.

Onsite WWVP registration days

All CBE staff (academic or professional) or PhD students who would like to apply for ‘Working with Vulnerable People’ registration from the ACT Government are invited to attend one of the College-wide registration days.

When:

Date to be confirmed.

Please bring:

  • Signed and completed WWVP registration form.
  • At least three forms (originals for verification and a copy of each for submission) of identity documentation (full list), and change of name evidence if required.
  • 2 x identical ‘passport standard’ photos (or an Australian Passport Photo Card from Australia Post). Photos may be obtained from the Post Office or Pharmacy in Union Court.
